This policy applies to personal information that MetaMusic collects, uses and discloses as part of its activities to promote the discoverability of Quebec and Canadian music and to disambiguate the identities of contributors and creators of works, recordings and music releases.

3. Purposes for which we collect your data

  • Simplified management of music metadata: To allow you to simplify the management of your music metadata to promote the discoverability of Canadian music.
  • One-stop shop for data entry and management: To provide a one-stop shop for metadata entry on your musical content and management of your music metadata, enabling you to consult, download and transfer them.
  • Creation of a reference database: Create a reference database for information on musical content, including works and sound recordings and their respective contributors (authors, composers, producers, artists, publishers, engineers, etc.).
  • Publication on the MetaMusic platform: This database will be published on the MetaMusic platform, accessible on the Internet to any registered user via user interfaces with search functionalities and under conditions relating to their use.
  • Dissemination of metadata: Facilitate the dissemination of metadata between MetaMusic member organizations when relevant and mentioned in the tool (ADISQ, APEM, ARTISTI, CQM, GMMQ, SOCAN, SOPROQ, SPACQ and UDA), but also to external partners when you are a member or subject to them (such as BAnQ legal deposit).
  • Compiling statistical information: Compiling statistical information to improve our services and support aggregated and anonymous analyses.
  • Responding to inquiries and complaints: Responding to inquiries and complaints from users.
  • Communications and news: Keeping you informed about our news, upcoming events, and relevant communications.
  • Compliance with legal obligations: To ensure compliance with our legal, regulatory and contractual obligations.

We collect only the personal information required for specific purposes in accordance with the principles of transparency, proportionality and minimization. Here are the types of personal information we collect and their purpose:

  • Identifiers and login information: username and password (to secure access to your account).
  • Contact information: legal name(s) and surname(s), e-mail address (to contact you and validate your identity) and year of birth. If you need to request the assignment of an ISNI identifier, your date of birth will be required to process your request.
  • Unique professional identifiers: IPN, ISNI, IPI, or other professional identifiers (to facilitate identifying your contributions in rights systems).
  • Geographical identification data: citizenship, country, province and city of permanent residence (for rights declaration purposes, according to legal and industry requirements).
  • Professional information: pseudonym (artist name, stage name), band name, information about your works and performances (to ensure traceability and disambiguation of works
  • Contributions to creations and links with other contributors: information about your collaborations with other artists, authors, publishers, producers or technicians.
  • Usage data

Usually, MetaMusic collects personal information from you. With your consent, we may also collect personal and public information about you from MetaMusic partners and other public sources.

This information is collected through our informative Web site (metamusique.ca and metamusic.ca ), our data entry portal (portal.metamusique.ca ) or through written, e-mail or telephone communications.

5. Publicly collected and publicly accessible information

As part of our mission of disambiguation and transparency, certain information may be made public to facilitate the identification of creators and contributors of musical works. This information includes :

  • Pseudonym and artist name (if applicable).
  • Information about your works, creations, and contributions: titles, roles, and contributions to musical works and sound recordings (e.g., composer, performer, producer). MetaMusic retains only public catalogue information, excluding percentages and other business data.
  • Professional Unique Identifiers: IPN, ISNI, IPI, and other standard identifiers used for copyright management and transparency.

This public information aims to improve the discoverability of music and ensure accurate allocation of rights to the various contributors.

6. Recipients of personal information

Your personal information may be communicated, for legitimate purposes and in accordance with applicable laws, to the following recipients:

  • Collecting societies and rights partners: To facilitate catalog declarations and the identification of works for which you have rights or contributions. This includes SOPROQ, Artisti, SOCAN and the agencies ISNI Internationale and Quansic.
  • MetaMusic members: ADISQ, APEM, ARTISTI, CQM, GMMQ, SOCAN, SOPROQ, SPACQ and UDA.
  • Technology partners and subcontractors: Our service providers manage information systems, databases and other online platforms. These service providers are subject to contractual confidentiality and data protection obligations.
  • Public bodies, government authorities and regulatory bodies: Where required by law and in compliance with legal obligations, we may be required to disclose specific personal information to the relevant authorities in response to legal requests or investigations.
  • Other users: Certain information, such as public unique identifiers, artist names and pseudonyms or any other information considered public, is visible to all MetaMusic users to facilitate the traceability and transparency of works and contributions.

In such cases, we will ensure that the organization to which we transfer your personal information provides a level of protection equivalent to that which MetaMusic is required to provide under the Act.

Although your personal information is kept and stored on servers located in Canada, in the course of performing our services, your information may be transferred to servers located in foreign countries and may thus be subject to foreign regulations and be transmitted to foreign authorities on the basis of such regulations.
